Request for Services: 2024 Traffic Safety Media Campaign


Project Overview:

  • Client: Pikes Peak Area Council of Governments (PPACG)
  • Campaign Name: 2024 Traffic Safety Media Campaign
  • Objective: Raise awareness about traffic safety practices and reduce injury & fatal crashes through targeted social media engagement.
  • Geography: El Paso, Teller, and Park Counties
  • Time period: Peak crash season (now – September 2024)

Campaign Goals:

  • Educate the public on how to improve their own and others’ safety on the road.
  • Increase engagement with traffic safety content.
  • Promote positive behavior changes among drivers.
  • Drive traffic to relevant educational resources, government initiatives, and/or surveys.

Scope of Services:

  • Strategy Development:
    • Conduct initial consultation with client to define campaign objectives and target audience(s).
    • Develop a content strategy and editorial calendar for the campaign period.
  • Content Creation
    • Create informative and visually appealing content tailored for each social media platform (e.g., Facebook, Instagram, Twitter) or other digital media platform (e.g. Google)
    • Develop graphics, infographics, videos, and/or GIFs highlighting traffic safety tips, statistics, and/or regulations in consultation with the client.
    • Write engaging copy that aligns with campaign goals and resonates with the target audience, consulting with the client.
  • Platform Management
    • Work with PPACG’s Public Information Officer to help manage and optimize client’s social media profiles throughout the campaign.
    • Schedule and publish content according to the editorial calendar.
    • Choose social media platforms best suited to the target demographics.
  • Performance Tracking and Reporting
    • Implement analytics tools to measure campaign performance metrics (e.g., reach, engagement rates, traffic to designated resources).
    • Provide basic progress updates with appropriate metrics and optimizations being performed periodically throughout the campaign.
    • Evaluate effectiveness and adjust strategy as needed based on data-driven analysis.

Timeline

  • Solicitation Closing Date: July 9, 2024
  • Project End Date: September 30, 2024

Budget Allocation:

  • Breakdown of budget for content creation (graphics, videos, etc.), platform management, and reporting.
  • Clear outline of expenses and any additional costs.

Deliverables:

  • Content calendar outlining scheduled posts and themes.
  • Created and published content across designated platforms.

Communication:

  • Status updates via email/phone/video calls as needed.
  • Client meetings for feedback and approvals of content & strategy.

Terms and Conditions:

  • Up-front payment will be made for the vendor to purchase social media ad placements.
  • Vendor will submit invoices and be reimbursed monthly for labor and other expenses.
  • Vendor will sign a standard agency contract reviewed and signed by both parties.
  • Vendor will provide a written description (5 pages or less) of proposed work to be performed, subject to review and amendment with the agreement of both parties. A formal proposal is not needed.
  • The ultimate budget and scope of work may be negotiated between PPACG and the vendor.
